TERMS & CONDITIONS OF HIRE

“Terms and Conditions of Hire” are understood and adhered to by all persons using the Premises during the period of hire.

The Hirer undertakes to be present or arrange for sufficient competent representatives to be present throughout the hire period to ensure the provisions and stipulations referred to in this document and any applicable licenses are fully complied with.

Fire Safety: The Hirer MUST:-

On arrival at the Premises check the location and operation procedures of all fire alarm points, fire extinguishers, fire blanket and fire exits and read the Fire Instructions, on display before the start of any event.

Ensure that the no smoking policy is adhered to for the duration of the hire.
Ensure no flammable materials including candles are used in the Premises without approval of the Committee.

No portable heaters (gas or electric) are to be brought into and used in or on the Premises.

Risk & Liability: The Hirer accepts that all persons using these premises do so entirely at their own risk and no responsibility will be accepted by the Committee for injury or any loss or damage to vehicles, equipment or other effects however caused. The Committee has insurance against any claims arising out of its own negligence.

All applicants shall relieve the Committee of all claims by third parties for personal injury or damage to property as a result of use of the Premises, however so caused. In addition, applicant groups or businesses must have insurance cover and comply with all relevant statutory requirements in relation to the services and activities they provide during the use of the Premises.

The hirer accepts that no fastenings may be fixed to any part of the Premises without permission.

Damage: The cost of any damage to furniture, fixtures and fittings on the Premises will be recovered by the Committee, with the Hirer being liable to pay these costs. The Hirer is responsible for leaving the Premises in a clean and tidy condition ensuring that the hall and equipment is left as it was found.

Accidents and Dangerous Occurrences: The Hirer must report all accidents involving injury to the public to Committee as soon as possible and complete the relevant section in the Accident Book which is kept with the First Aid Box inside the ticket office at the front of the Premises.

The Committee will prepare the Premises and facilities for your event. The state of the premises will be confirmed by a signature by you when a Committee member hand over the hall for your use as well as Guidance sheets on using the Premises will be located in the ticket office at the front of the Premises, to include information on:

  • Operation of Lighting
  • Operation of Heating
  • Operation of Water
  • Operation of Kitchen
  • Emergency / Fire Procedures
  • Accident Book / First Aid / Location of nearest Defibrillator
  • Handover documents confirming signed acceptance of state of condition of Premises and Equipment.

Licenses: Sale of intoxicating liquor in the Premises requires purchase of an occasional licence, the terms of which must be strictly obeyed. It is the responsibility of the Hirer to obtain the occasional licence, and to ensure that minors do not purchase or consume alcohol in the Premises. This licence must be shown to a Committee members at least 24 hours before the event.

Illegal drugs must not be brought into or used at any time in the Hall.

Gaming, Betting and Lotteries: The Hirer shall ensure that nothing is done on or in relation to the premises in contravention of the law relating to gaming, betting and lotteries.

Hygiene: The Hirer shall, if preparing, serving or selling food observe all relevant food health, hygiene and allergy legislation and regulations and obtain relevant certificates if necessary. The kitchen is suitable for preparing hot drinks, and serving food prepared offsite. It is currently not suitable for cooking and preparing food.

Electrical Appliance Safety: The Hirer shall ensure that any of their own electrical appliances used in the Premises shall be safe, in good working order, used in a safe manner and have been tested in accordance with current safety testing requirements.

Animals: The Hirer shall ensure that no animals (including birds) except assistance dogs are brought into the Premises, other than for a special event agreed to by the Committee and no animals whatsoever are to enter the kitchen at any time.
