1. MINUTES OF PREVIOUS MEETING: MATTERS ARISING
Gill will action the matter regarding employing a cleaner for the hall
Liz has contacted the council regarding recycling bins and is awaiting an answer.
The idea of a New Year/Hogmanay event was raised again. Given how much is on at the hall, we will wait until next year before giving it serious consideration.
A summer event was discussed and there was some enthusiasm for this. We will return to planning and discussing this in the new year.
2. CARD READER
Malcolm has proposed the purchase of a card reader and has recommended Sum Up as the most competitive available (1.69% on transactions, one off upfront charge of £99). There was general enthusiasm for this but we will wait until the new year before actioning this.
3. ‘PURE’ UTILITIES
We have received further bills from Pure Utilities (and some have now been emailed to Gerry) regarding energy use in the old changing rooms. Thanks to Gill for her investigations into when DHFP vacated the changing rooms and seeking to sort this matter once and for all. She will approach Citizen’s Advice and if unsuccessful will speak to a local councillor.
4. WORKING GROUP ON PRIORITIES AND COMMUNITY CONSULTATION
Gerry will set up a working group to discuss priorities for the repair and renovation of the hall and to look more closely at the responses from the community consultation. Joyce and John agreed to participate; Gerry will find two members from the community who volunteered to help through the questionnaire.
5. UPDATES: ENTRANCE SPRUCE UP, FILM CLUB, MacMILLAN COFFEE MORNING/SOUP SOCIAL, CHRISTMAS FAYRE, FUNDING APPLICATIONS, OTHER BOOKINGS
· An upgrade of the cloakrooms and toilets will go ahead as planned. John will pursue quotes and samplers for flooring etc. The sanitary ware will not be changed at this point.
· Lynda confirmed that the hall has funding for five films and two of these will take place over the October Holidays for children (Sunday 16th October: Sing 2; Sunday 23rd October: Encanto, both at 2pm).
· The MacMillan Coffee morning takes place on Friday 30th September at 10.30am. Volunteers from the Board will help set up and assist on the day. There was some discussion about having reduced hall hire rates for charity events but this was rejected for the time being.
· The Christmas Fayre takes place on 3rd December from 10-11.30am. There will be several tables: Bodyshop, Woman’s Rural, Vintage on the Nith, Caerlaverock Primary School, Innes (?) and a Barbour Memorial Halll Information table. There will be a £5 charge per table. Entrance fee: £3 adults, £1 children. Board members were asked to donate raffle prizes worth up to £6. Brenda will organise the luxury hamper. There will be a Christmas Picture competition for pupils at CPS with a book token prize; these will be used to decorate the front of the hall.
· The idea of employing a Project Officer for a couple of days a week was discussed. It was felt that we were not quite ready for this but would return to this in the new year. The next funding application, if successful, will be used for the upgrade of the cloakrooms and toilets.
· The Pizza Wagon from Kirkbean has been booked for 15th October and will be situated in the Hall car park.
· The possibility of holding both a gin and a whiskey night at the hall next year were discussed.
· Next Soup Social proposed date: Wednesday November 16th.
