MINUTES OF TRUSTEES MEETING

Matters arising:
Reminder should be sent out for potential members/trustees to check their junk mailboxes for missed emails.
No applicants for two vacant trustee positions. Lynda will post the ads again citing an end date of 29th Feb.
Attending:
Fred Trigg (who replaces Malcolm) proposed a landing page website to coordinate everything. All agreed this was a good plan.
Costs update:
Final costs on toilet renovations: John will have these soon. In the interim, costs to date are £19,764.60 including VAT. Paid to architect £3,593.
Financial report: Paid to Kathy for Business Plan so far £2,900. Plan draft will be finished by the end of March. Business Account balance £22,018.10, reserve remains £2,500.
There followed a lengthy and varied discussion about membership and accountability involving the BMH Constitution. It was decided to have an extra meeting, led by Jeanna, to discuss the Constitution in detail on 31st January, at 6:30 p.m. Among the items discussed were:
- A 3-tiered system of Trustees/Members/Friends of the Barbour Hall
- Accountability of trustees to membership and community
- Whether BMH should be a single tier of two-tier system
Fund raising:
John is costing for the roof and the front of the building for March/April
Jim Cowan will give an estimate on Monday.
Melissa McGarry of D&G Council to give fund raising info to Lynda.
Upcoming events and lets:
- Soup Socials will be held on the 3rd Wednesday of Feb, Apr and possibly May, starting 21st February.
- Rental of chairs and tables discussed. Alice will draw up a table of charges.
- Pre-loved and handmade to be 10th May, bar license needed, sub-committee set up.
